Tablet PC and Ultra-Mobile PC Forums: OneNote Notebooks and multiple systems

  • I have to strongly recommend AGAINST using FolderShare to synchronize your OneNote notebooks. This is just as dangerous as using it to sync your PST file. Aside from the fact that the synchronization can't happen while the files are in use, FolderShare can't cope with the fact that if the OneNote notebook is changed on both machines that one of the sides will have its changes overwritten by the other.
     

    Instead, if you're using OneNote 2007, you should follow the initial recommendation of using OneNote's built in synchronization features. Basically you would have a folder that is "shared" (as in Windows File Sharing) and the other computer can open that shared notebook. OneNote will detect that the .one files are on a shared folder and implement a cache so that the notebooks can be used (and modified) offline and then your changes are merged back into the source file when you become connected again. The merge happens at the object level so you can even modify the same page on two computers and both modifications will be preserved. This really reduces and in most cases eliminates synchronization conflicts similar to the way Exchange does it.

     

    I am not opposed to FolderShare. I love it and use it for other things, but its definitely NOT good for these kinds of files. Things like access databases, PST (Outlook) files, or anything else that usually consists of one large file with many "records" within it are not good candidates for file synchronization.

     

    An added bonus, if you are willing to install third party software - if you get Hamachi (http://www.hamachi.cc) OneNote can synchronize its changes to the desktop or laptop over any connection as if you were on the same LAN. I've been using Hamachi for months and it works very very well. My OneNote notebooks are always in sync, even if one of the machines is back in the office and I'm on the other side of the country.
