How to store your tax returns

  • Any returns older than 10 years can be grouped by decade. I’ve been paying income taxes for about 20 years, so I have a 1980s file and a 1990s file. Then, I have 10 working files for the most recent 10-year period. These are labeled “Tax Year 0″ through “Tax Year 9.” Papers for the year 1999 are still in the Tax Year 9 folder, and they will remain there until 2009’s returns are ready for the file. This year’s taxes were filed in the Tax Year 8 folder, and the 1998 files were moved to the 1990s decade file.

  • Stop doing everything you are doing at the moment of complete mental breakdown. Take a large breath, put on some fun music and start sorting. Pile every single paper in one spot, grab the nearest empty trash can and sort into three sections: TRASH, PROJECTS, TO FILE. Trash goes into the trash can, your To File pages go into a designated area and your Projects or To Do’s sit nicely next to wherever you are going to work on them at. Once the chaos is gone, it will be a lot easier to implement a system that is customized to your organizing style: Inspirational, Logical, or Visual.

  • I tend to be very paranoid about optical media, so I don’t like to trust my data to be just in one place. John does make a good point about keeping your stuff cleaned up on a regular basis. It is a lot more difficult to force yourself to edit photos from 2 years ago than it is to choose the 5% “keepers” from the past weekend. Finding a good way to organize all of your data can be pretty difficult–particularly with things like photos, videos and audio. I’m having good luck with iPhoto for my pictures, but if I wasn’t using a Mac I’d probably look at Picasa again.
